Players and teams
The roster is
the whole club.
Get the player records right once and the grid, the board and the depth chart all get right with them.
Club, squad, team
Three words, and they nest.
- Club. The organisation. One club, one player pool, one roster.
- Squad. A group inside the club: Men's, Women's, Colts, Junior. Squads are the unit your plan is counted in.
- Team. What takes the field: 1st XV, 2nd XV. A squad can field several.
Players belong to the club, not to a team. That is the single most useful thing to understand about ARM, because it means the same person can play 1st XV one week and 2nd XV the next without existing twice.
Adding players
- Send us the list. Email your spreadsheet to hello@armtech.app and we will load it, usually the same day. Fastest route, and the one we recommend for the first season.
- Add them yourself. Roster, then Add. Name is the only truly required field, but a phone number is what makes the availability link work, so put one in wherever you have one.
- Let them add themselves. A player who opens your club link and matches nobody is asked to confirm their details, and their record is created from what they enter. Handy for the trialist who turns up on a Tuesday.
The fields that matter
You do not need to fill everything in. These are the ones that change how the app behaves.
- Name. Spell it how the player would type it, because that is what they are matched on.
- Phone number. The reliable way in. Formatting does not matter, numbers are normalised before matching.
- Primary position. Drives the depth chart and the position hints on the selection board.
- Secondary positions. What surfaces cover when you are short.
- Player type and status. Covered below.
Everything else, birthdays, contact details, weight, is optional and controlled in Club Settings. Only turn on what your club will actually use. Fields nobody fills in are worse than fields you never asked for.
Positions
Positions follow the numbers, with one thing worth knowing: prop is split into Loose Head and Tight Head, because those are two different players and pretending otherwise breaks your depth chart.
Give every player a primary and at least one secondary. The secondary is the one that pays off, usually at 4pm on a Friday.
The Depth Chart reads the roster and shows you every position with who you have behind it. Thin spots are obvious at a glance, which is the point.
Player types
ARM ships with Performance, Open and Women's. Rename or replace them in Club Settings so they match how your club actually splits, then use them to filter the roster and the pool.
Player type is about how you group people. It is not a status and not a grade of ability, and it does not stop anybody being selected.
Statuses
- Active. The normal state, and the number the club is measured on.
- Injured. Still on the roster, still gets the availability link.
- Unavailable. Away, working, on tour with someone else. Still listed, not expected.
- Retired. Done playing, history kept.
- Archived. Off the roster entirely, history kept.
Active, Injured and Unavailable show in the roster as normal. Retired and Archived are hidden until you switch them on with the Show Retired and Show Archived toggles in the filter panel, and archived players do not appear on the selection board at all.
Finding people
The roster has a search box and a filter panel. Filter by status, by player type, or by position, and the position filter matches secondary positions as well as primary, so filtering to hooker shows you your cover too.
Export CSV sits in the same panel and exports exactly what you are looking at, filters and all: contact details, positions, type, status, subs paid, notes, and when they last played and for which team.
Duplicates and merging
Duplicates happen when a player self identifies under a different spelling to the one on your spreadsheet. Mike and Michael, or a nickname.
Open one of the records and use Merge. Merging keeps the caps, the availability history and the notes. Deleting one of them does not, which is why merge exists.
Merge from the duplicate, the record you want gone, and pick the one it should fold into.
Players who leave
Set them to Retired or Archived. Do not delete them. Deleting takes their history out of your season, and the first time you need to check who played what, you will want it back.
If they come back next season, flip the status and everything they did is still attached.
Teams
Set your teams up once in Club Settings and they pre-fill every week you create, so you never type 1st XV again.
Teams are shapes, not squads. Adding a 3rd XV inside a squad you already run does not change your plan; adding a whole new squad does. The detail sits on the pricing page.
Coaches, managers and access
Every plan, including Free, lets you add as many coaches and managers as you like. You never pay per person.
- Head coach. Reads the grid, picks the side, writes coach notes.
- Team manager. Creates weeks, sends the link, chases the non-responders.
- Club admin. Owns Club Settings and the roster.
- RDO. Sees every squad in the club at once. Its own article.
Two things stay private no matter who is looking: coach notes are never shown to players, and players only ever see their own record, their own answers and the notes you wrote for the whole week.
Good habits
- Load the roster properly once, in pre-season. Everything downstream depends on it.
- Phone number on every record you can.
- Secondary positions on everybody, even if it feels like guesswork.
- Merge duplicates the day you notice them.
- Archive, never delete.
